How do I activate a volunteer?

  1. Sign in
  2. Click on "data entry" button
  3. Click on "Select Edit Option" at bottom of page (there will be more options coming later so you may have to set the "Edit Station Info" option at that time)
  4. A list of your stations will be presented. If a station is active, it will show the activation date under the "Active?" column.
  5. For those that are not active and are ready to be activated, click on their Station Name - this shows all of their registration information if you ever need to change anything
  6. Near the bottom of this page you will see the station Creation Date. This is when they filled out the registration form. After that there are 6 other fields where dates can be added. The first three are just for your use to help you keep track and make sure everyone in your area gets contacted, trained and equipped with the proper gauge.
  7. The "Activation Date" is the key field to activate a volunteer so they can log on and enter data. If they have been writing down there data, enter the date (you can click on the icon next to the date field to select the date) they need to start entering data for (but not earlier than April 1, 2004).
  8. Once they are activated, they will be able to sign in and start entering data
  9. Ignore the "On Email List" because this is for later use
  10. If you ever need to deactivate a station, add that date in the "Deactivation Date" field. - Actually making this option work is on my ToDo list so doesn’t actually do anything yet J
  11. The "Comments" field are for any notes you may want to record about that person or station.

How do I delete one entry when a volunteer registers twice?

YOU can’t yet so you will have to contact Rich Kern at rkern@dnr.ne.gov to do it for you. Eventually, there will be a web page that will allow you to do that. When it is available, it will be under the “data entry” section.

How can I change an incorrectly assigned NRD of a volunteer?

This problem can occur because each county can only be assigned to one NRD during the registration process. I assigned each county automatically to the NRD where I thought the most population is, assuming that would get most of them right. Those that are incorrect will have to manually be moved to the correct NRD. To do that:

  1. Sign in
  2. Click on "data entry"
  3. Click on "Select Edit Option" at bottom of page (there will be more options coming later so you may have to set the "Edit Station Info" option at that time)
  4. Click on the station that is incorrect and you will be presented with their registration information
  5. Go down to NRD and select the correct NRD
  6. Go to the bottom of the page and click on the Submit button to save it
  7. Forward the registration Email you received for that person to the correct NRD coordinator

An application came in with the error message of:
"City not found in database so Station Address is totally wrong"
What does this mean and how do I fix it?

This message can come from a couple of reasons but both are related. There is a database associated with this project that has the Lat/Long identified for the center of each incorporated community in Nebraska. This error will occur if they happened to spell the name of the city wrong (or it is wrong in the database which has occurred), if it is not in the database, or if their mailing address is just outside of Nebraska but they actually live in the state.

The problem is that this incorrect data has already been recorded in the Station Location so it needs to be corrected.

  1. Go to: ../DataEntry/GetStation.asp
  2. Enter the nearest Nebraska community
  3. Either use the Lat/Longs they provided or check them again using the Latitude/Longitude Finder application and enter that data
  4. Click on the Submit button and you will get the new location at the top of the white entry box
  5. Sign in
  6. Click on the "data entry" button
  7. Click on the Select Edit Option near the bottom of the page
  8. Click on the station to be edited
  9. Enter the new data for city, lat/long, and/or Station Address
  10. Click on Submit

An application came in with the error message of:
"The distance to the city is greater than 30 miles so either Latitude or
Longitude may be incorrect"

What does this mean and how do I fix it?

If you received the "City not found in database so Station Address is totally wrong" message above, you will also receive this error and the city name is most likely the problem. If you did not receive the previous message, then the Latitude or Longitude that was entered is most likely incorrect. The assumption is that all stations will be within 30 miles of the registration town. There may be some exceptions to this assumptions such as in the Sandhill region so this warning message may be ignored in those circumstances.

If each of the stations should be within the 30-mile limit in your area, you can follow these steps to correct the problem

  1. Review the Lat/Longs that were entered to see if they look reasonable.
  2. If they look reasonable, then the problem may be with the lat/long database information for each town so you should contact Rich Kern (rkern@dnr.ne.gov)
  3. If the Lat/Longs need to be corrected, follow the same steps as outlined in the "City not found" message mentioned above.
A volunteer informed me they entered their information incorrectly. How can that be corrected?

First let them know that they can correct some of their errors and teaching them how to do that may save you work later. They cannot change a date so if they entered their information on the wrong date, they will need to tell you which date is incorrect so you can delete that record (explained below). Then they will need to re-enter the correct data on the proper date.

If it is just an error in the precipitation amount they can follow these steps to correct their entry:

  1. Have them sign in
  2. Click on the "data entry" button
  3. Select the Data Entry Form Type (most likely it will be the Daily Precip which is the default)
  4. Click on the "Edit" button.
  5. Click on "Select Data Entry Option"
  6. This will show a list of the last two entries for them (for security reasons, we don’t let them go back any further than that)
  7. Click on the date they want to change
  8. Enter the correct rainfall amount
  9. Submit

If the entry goes further back than just two entries, you need to delete a recording, or for whatever reason you may need to change an entry, you can follow these steps:

  1. Sign in
  2. Click on "data entry" button
  3. Click on "Show List of Your Stations for Editing or Deleting Records"
  4. Click on Station to be edited
  5. Click on the date to be changed
  6. Either enter the correct information (a date CANNOT be changed) or there is a DELETE link at the bottom of the page – USE the DELETE option wisely because there is NO UNDO once you click it.
  7. Submit the change unless you used the DELETE link

How do I sign in for other locations when I enter for multiple stations?

When you first go to the site at; dnrdata.dnr.ne.gov../index.asp it will show that you are already logged on to a particular station. To log on to anther station:

  1. Click on the "sign-in!" button beside the "Welcome to the NeRAIN Web Site"
  2. Enter the username and password for the new station you want to enter data for and click on "Log On"
  3. Even though, the main page will still say you are logged on to the old location, you are really logged on to the new station because the page has not been refreshed
  4. Click your browser’s Refresh button to refresh the page and you will see that you are now logged on to the new station
